This article describes a sample booking project for a clinic, with the approach and the decisions we apply. The numbers illustrate the kind of result we're aiming for, not those of a specific client.
The problem
A practice with one or two people on reception can't take every call: while they're with a patient, the phone goes to voicemail. Every missed out-of-hours call is often an appointment that goes to another clinic. On top of that, there are empty slots from no-shows nobody confirmed.
The solution, in layers
- AI reception. An agent answers calls and WhatsApp at any hour, handles the usual questions and offers slots based on the real diary.
- Bookings written straight in. The appointment goes directly into the diary the clinic already uses —not into a separate panel—.
- Automatic reminders. A message the day before cuts no-shows, the main cause of empty slots.
- Clean handover. If the case is delicate or the agent isn't sure, it takes the message and flags the team. It never gives medical information and never makes things up.
Why it works
It doesn't replace anyone: it covers what used to drop. Out-of-hours calls stop being lost, reminders win back slots and the team stops spending time on the diary and spends it on patients. The key is the integration: if the booking doesn't show up on its own where people already work, the system gets in the way instead of helping.
The rule that never bends
In healthcare, caution wins: the agent gives out opening hours and services, books and takes messages, but any clinical question goes to a person. The system never leaves the patient worse off than voicemail would.
